Create a Requisition from a Template

Requisition templates can be used to help you quickly create requisitions. A requisition template contains much of the information needed to create a requisition, thus reducing the amount of data entry required to create a new requisition.

Templates can be created and saved for use when creating certain job types. For example, different templates could be created for hourly, salary, and executive level positions. Additionally, templates could be created for different locations or departments. Templates are particularly helpful if groups of job openings require the repeated entry of the same information for related requisition types.

If you find yourself repeatedly creating similar requisitions for your group or department, you should consider creating and saving requisition templates as a time-saver.

  1. Note: If the client has more than 300 saved templates, a query box option will be displayed rather than a drop-down list. Click on the Query Box icon to launch the Select a Template window from which you can enter search criteria to locate and select the requisition template you wish to use. Template filter fields will not be displayed if the query box option is displayed.

To create a requisition from a template

  1. Go to Primary Navigation Bar > Requisitions > Create Requisition. Alternatively highlight a requisition in the Workflow pane, right-click, and select New Requisition.
  2. The Create Requisition window opens displaying a blank requisition form.
  3. Click on the Saved Templates drop-down list to display the available list of requisition templates.
  1. Public Templates are displayed in black font.
  2. Private Templates are displayed in blue font. Private templates are only visible to the user who created the template.
  1. If the displayed list of templates is too long, you may choose to filter the list.
  1. Click the drop-down list in the Select a Category field and select a template category. The number next to the category name indicates the number of templates in that category that are available for your use. The templates in the selected category are displayed in the template list.
  2. To search for a template by keyword, enter one or more keywords in the text box and click the Apply Filters icon. Templates that meet the keyword search criteria are displayed in the template list.
  3. The following rules apply for keyword searches:
  1. You may use both a category and keywords to search for templates.

  1. The information from the template you select is automatically displayed in the fields on the Create Requisition page. Using the information from the template as a starting point, ensure that the information is accurate and complete. Some fields will be verified by the application when the new requisition is created. Invalid fields will be highlighted and should be updated before completing the creation process.
  1. An information symbol designates dates that are in the past and may now be invalid.

  2. A warning symbol designates lists, such as categories, locations, skills, benefits, etc. that contain invalid selections. The invalid option in the list is highlighted. Update the field by selecting a valid option.

  3. Inactive Contacts and Approvers are designated by a warning symbol beside both the contact group and the contact name. Additionally, the inactive user’s name is highlighted. Update the field by selecting an active contact or approver.

  1. Only fields that are visible to the user will be displayed in the Details pane. For example, if the selected template includes approver information, but the user does not have permission to view the Approval panel, the fields will still be populated from the template. However, the user will be unable to confirm the accuracy of the contacts selected as approvers.

  2. Once all information is confirmed, click Create.
