Requisition Status Definitions

Every requisition has a status in PeopleFluent Recruiting Portal. In most cases, the status is Open until the requisition is filled. During the initial configuration or your PeopleFluent Recruiting Portal triggers, or automatic events, may have been created that change a requisition status based on where candidates are in the hiring process, as reflected by your company’s unique workflow(s). However, in some cases, you may need to manually change a requisition’s status. For example, you might want to change a requisition’s status to On Hold if recruiting for the requisition has been suspended for a period of time or to Cancelled if the position has been eliminated.

To ensure that the reports generated from your company’s recruiting data are correct, it is important that all PeopleFluent Recruiting Portal users in your organization assign requisition statuses correctly and consistently. Recruiters should use the following guidelines to choose the appropriate requisition status and ensure the data for enterprise reporting is accurate and consistent:

Definitions

Pending

Used when a requisition is in the approval process. This is a system-generated status assigned when a requisition that requires approval is created.

Open

Indicates that the requisition is actively being recruited against. In most cases, this is a system-generated status that is assigned when a requisition has been approved, or when a requisition that does not require approval has been created. This status can also be manually assigned if recruiting has been resumed for a requisition that was previously placed On Hold.

On-Hold

A decision has been made to delay recruiting until further notice or the requisition is under evaluation. This is a manual status change that is normally made by the recruiter.

Cancelled

A decision has been made to shut-down the requisition and no candidate(s) have reached the Offer Accepted or Hired folders. This is a manual status change that is normally made by the recruiter.

  1. Note: Your company may have decided to automatically remove all existing job postings (internal , external, job boards) when a requisition status is changed to Cancelled. If the job postings are not removed automatically, remember to remove them manually.

Filled

In most cases, this status is automatically assigned when the number of candidates who have reached the Offer Accepted folder equals the number of candidates specified to be hired.

Closed

In most cases, this status is automatically assigned when the number of candidates in the hired folder equals the number of candidates specified to be hired. This status would be manually selected, usually by the recruiter, if a decision is made to shut-down the requisition and the number of candidates in the hired folder does not equal the number of candidates specified to be hired.

  1. Note: Your company may have decided to automatically remove all existing job postings (internal , external, job boards)  when a requisition status is changed to Closed. If the job postings are not removed automatically, remember to remove them manually. 

Requisition Functions

Requisitions are displayed in the Workflow pane based on the selected filter. Depending on the user's permissions, there are several requisition actions that can be initiated from within the Workflow pane by right-clicking on the requisition folder.

The table below lists and describes the requisition actions that can be initiated from the workflow pane.

Get Folder Counts

Refreshes the candidate counts associated with the requisitions displayed in the Workflow pane.

Show All Candidates

Opens the Candidate List pane to display the list of all candidates currently associated with the requisition.

Set Requisition Status

Opens a pop-up window allowing the user to select from a list of requisition statuses (Open, Cancelled, Closed, Denied, Filled, On-Hold, and Pending). When the status is updated, the requisition may no longer appear in the workflow pane if the requisition filter includes a criteria for requisition status. There may also be automatic triggers associated with the status change that will notify recruiters, interviewers, hiring managers, and / or candidates of the status change.

Manage Job Postings

Opens the Job Postings page associated with the requisition. The user can then view the posting status, posting template, perform actions such as removing the posting, and view the posting history.

Remove All Posts

Unposts the requisition from all posting sites. A dialog box is generated asking the user to confirm the action.

New Requisition

Opens the Create Requisition window allowing a user to begin the requisition creation process.

Delete Requisition

Deletes the selected requisition.

  1. Warning: Deleting a requisition is a permanent action. Job Postings will be automatically removed from all posting sites. Candidate profiles associated with the requisition will no longer be accessible. No automatic email notifications will be generated and sent to internal users or candidates when the requisition is deleted.

An audit action will be recorded upon the deletion of the requisition, but all associated records will be lost. If the requisition has been posted and has candidates associated with it, the user should consider changing the requisition status to On-Hold or Closed rather than deleting the requisition.

Export Requisition

Initiates the export process allowing the user to save a copy of the requisition locally. Depending on the user's browser settings, they may be prompted to allow pop-up windows.

Lock Requisition

Immediately locks the requisition. Locked requisitions cannot be edited, candidates cannot be assigned to locked requisitions, and candidates cannot be moved between the workflow folders of a locked requisition.

Unlock Requisition

Immediately unlocks the requisition allowing it to be edited as well as permitting the continuation of candidate workflow.

Find Requisition

Launches the Requisition Quick Find window allowing the user to enter search criteria to locate a specific requisition or group of requisitions.

Collapse Workflow

Select this when the workflow for a requisition is fully expanded. Alternately, select the "-" symbol next to the requisition name.
