Assign Questionnaires to Workflow Triggers

Questionnaires allow companies to create and apply an additional means of collecting candidate information. They can also be used to evaluate, compare, and rank candidates based on their submitted responses.

When PeopleFluent Recruiting Portal workflows are defined in PeopleFluent RMS Administration Portal, questionnaire triggers can be assigned to selected workflow folders. When candidates are moved to a workflow folder to which a questionnaire trigger is attached, the candidates are sent an email message asking them to follow the attached link and complete the questionnaire(s) associated with the folder.

  1. Note: Only one questionnaire may be associated with each workflow folder. Do not assign workflow trigger questionnaires that you want candidates to complete at the time of application. That type of questionnaire is attached to job post templates.

Users must be assigned the Various Panels on the Requisition Screen > Questionnaires > Edit permission to complete this task. This permission is assigned in PeopleFluent RMS Administration Portal.

To assign questionnaires to workflow triggers

  1. In the Workflow pane click the Requisitions tab and select the requisition filter to display the correct requisition.

  2. Click on the requisition you wish to assign workflow questionnaires to or remove from. The requisition opens in the Details pane.

  3. Select the Requisitions > Additional Information tab and scroll down to the Questionnaires panel.

  4. Click the Edit icon.

  5. If a workflow trigger questionnaire has been defined for any of the folders in the requisition workflow, the folder name is listed in the Sent on entry to this folder column. Click on the Edit icon next to the folder name to edit the workflow trigger folder.

  6. If no workflow trigger questionnaires have been defined for the requisition, click the Add to List button.

  1. Enter search criteria and click the Search button. Alternatively, click the Show All Questionnaires button to display the questionnaires available for selection.

  2. Highlight the questionnaire in the Available Items window and click the Add Item icon.

  3. Only one questionnaire can be associated with a workflow folder.

  4. Click OK.

  1. Click on the Edit icon in the Sent on entry to this folder column. A new screen opens.

  2. The workflow folders with associated questionnaire triggers are listed in the Available Items window.

  3. Highlight the folder you want to associated with the questionnaire selected above and click the Add Item icon.

  4. Click OK.

  5. The folder name associated with the questionnaire is listed in the Sent on entry to this folder column.

  6. Click OK.
